Job OverviewThis is a full-time seasonal opportunity that will require the successful candidate to provide administrative support to our executive leaders and senior managers. Key Responsibilities:- Administrative Tasks: Perform various administrative tasks, including request reimbursements, payments, and other financial transactions on behalf of the company.
- General Administrative Support: Provide general administrative support, including answering phones, mailing, scanning, faxing, and copying documents for management.
- Scheduling and Coordination: Manage executive calendars, coordinate meetings, prepare agendas, and record minutes as needed.
- Event Planning: Coordinate off-site planning sessions, special lunches and dinners, mid-year meetings, and other events for our HR managerial team.
- Travel Arrangements: Arrange business travel and accommodations for executives and other employees as needed.
- Document Preparation: Compile documents, letters, and presentations for executive review and approval.
- Clients and Employees: Support clients and employees throughout the organization, referring them to appropriate units as needed.
- Financial Management: Process corporate card payments for Division Managers, Managers, Supervisors, and Senior HR Officers.
- Talent Review Meetings: Support the logistics for Talent Review annual meetings.
- HR Integration: Support the HR VI Team in their integration to the HR Division.
- Reminders and Updates: Send reminders, receive, and consolidate weekly updates per unit, preparing draft reports to send to the Administration Group Manager.
- Corporate Titles and Signatures: Review and process all corporate titles and authorize signature recommendations for BPPR company and Popular, Inc.
- Hiring and Invoicing: Support the HR Division Manager in hiring new consultants for special projects and processing invoices.
- Data Compilation: Compile data, type statistical reports, presentations, and proposals.
- Databases and Spreadsheets: Create and maintain databases and spreadsheet files.
To be successful in this role, you will need:
- Education: A Bachelor's degree in Business Administration, Office Systems, Industrial Psychology, Labor Relations, or Psychology is preferred.
- Experience: A minimum of two (2) years of experience as a personal assistant for executive leaders and/or senior managers is required.
- Skills: Excellent organizational and communication skills, with the ability to manage multiple initiatives simultaneously. Strong analytical and problem-solving skills, with the ability to work in a fast-paced environment. Proficient in MS Office 365 programs, including Excel, Word, PowerPoint, Outlook, and HRIS systems like ERP/SAP.
- Languages: Fully bilingual (English/Spanish) is required.
