The opportunity... Summary:

As a Client Executive Assistant, you will work closely with the Account Executive to deliver exceptional service to clients. You will partner with the Account Executive to manage and provide service to clients, interacting with insurance companies and ensuring timely and accurate communication. A sense of urgency, attention to detail, and customer orientation are essential to meet our service standards.

A Day in the Life... Essential Duties and Responsibilities:

  • Responsible for maintaining, organizing, documenting, and filing daily physical and digital records of clients, including policies, endorsements, insurance certificates, and general correspondence.
  • Accountable for keeping the Summary of Coverage updated with changes during the policy year.
  • Support communications between departments to channel customer requests.
  • Request and follow up on insurance certificates, vouchers, letters of certification of payment, and distribution of premium.
  • Prepare folders and/or email for policy delivery, including Summary of Coverages, invoices, insurance certificates, payment letters, and other documentation.
  • Responsible for sending invoices to clients for billing and closing of the month.
  • Request quotes for premium financing contracts and send documents to clients.
  • Follow up on payments and maintain a list of accounts for reference.
  • Confirm evidence of payment and request processed payment to send to customers.
  • Prepare draft emails to clients with renewal information, including Statement of Securities, Sales Information, and Specifications and Proposal.
  • Handle assigned renewals.

What you need for success... Requirements:

  • Bachelor's or associate degree
  • Minimum of one year of experience
  • Preferred experience with EPIC
  • Fluent in English and Spanish
