Job Summary

We are seeking an experienced Executive Administrative Assistant to join our team at Popular Bank. As an Executive Administrative Assistant, you will provide high-level administrative support to our Senior Vice President, oversee office functions, and support operational processes.

Key Responsibilities

  • Perform administrative tasks, including request reimbursements, payments, and manage the Executive calendar.
  • Provide general administrative support, including answering phones, mailing, scanning, faxing, and copying.
  • Manage the budget cycle and reporting for the Division Manager.
  • Coordinate activities for the managerial team, including off-site meetings, planning sessions, and special events.
  • Arrange business travel and accommodations.
  • Compile documents, letters, and prepare presentations.
  • Support clients and employees throughout the organization and refer to appropriate units.
  • Process corporate card payments for Division Manager, Managers, and Supervisors.
  • Support the team in their integration to the Division.
  • Send reminders, receive, and consolidate weekly updates per unit and prepare draft reports.
  • Review and submit corporate titles and authorize signatures recommendations.
  • Compile data and type statistical reports, presentations, and proposals.
  • Create and maintain database and spreadsheet files.
  • Maintain inventory of office supplies and division assets and manage purchases.

Requirements

  • Bachelor's Degree in Business Administration or Office Systems, preferred.
  • Minimum two (2) years as a personal assistant for executive leaders and/or senior managers or two (2) years as an administrative assistant role.
  • Ability to manage highly confidential and sensitive issues.
  • Exceptional collaboration, initiative, and problem-solving skills in a fast-paced environment.
  • Ability to analyze, prioritize multiple simultaneous initiatives, self-direct, and task switch between strategic and tactical initiatives.
  • Compliance driven – ability to balance the needs of the division against stated privacy requirements and controls.
  • Strong business acumen – ability to understand the needs and concerns of business stakeholders and colleagues.
  • Strong communication and interpersonal skills.
  • Excellent report-writing and presentation skills.
  • Polish presentation skills, strong oral and written communication skills, and fully bilingual (English/Spanish).
  • Proficient in MS Office 365 programs like: Excel, Word, PowerPoint, Outlook, Teams, SharePoint.
