Job Description:
Spectraforce is seeking an Administrative Project Coordinator to join our team. As a key member of our support staff, you will play a vital role in ensuring the smooth operation of our projects.
Key Responsibilities:
- Organize and maintain project files, systems, and communications;
- Provide data entry and track project statuses;
- Generate monthly progress reports and maintain tracking systems and project documentation;
- Assist with client communication, prepare research, and record meeting minutes;
- Handle administrative tasks such as answering phones, sorting mail, and managing invoices;
- Coordinate travel, meeting schedules, and arrange client/vendor presentations, including set-up and clean-up;
- Manage supplies, update project calendars, and maintain contact lists and execution plans;
- Perform other clerical duties as assigned while ensuring compliance with policies and standards.
Requirements:
To be successful in this role, you will need:
- A high school diploma or equivalent;
- Applicable experience in an office/secretarial environment;
- Proficiency in Microsoft Word, Excel, Access, and PowerPoint;
- Bilingualism in English and Spanish is preferred.
