
Administrative Support Specialist

The ideal candidate will be responsible for accurate data entry, custodianship of received payments, deposit preparation for the bank and archiving various types of documentation while ensuring the integrity and confidentiality of the information.
Main Responsibilities
- Receive and register customers' payments and insurance commissions according to the unit's service level agreements.
- Keep detailed records of all payments received, including electronic and physical payments. Ensure that all records are organized and easily accessible for future reference and audits.
- Contact insurance companies and/or agencies to gather information related to electronic payments.
- Organize and digitize documents according to Popular's Electronic Recordkeeping Guideline.
- Address any inquiries related to payments, including discrepancies, missing payments and other issues. Work with customers, insurance companies and internal departments to resolve any payment-related issues promptly.
- Prepare electronic and physical deposits for the bank.
- Process payments for customers who come in person or call over the phone.
- Refer unidentified credit notices as applicable and follow procedures to ensure payments are recorded within the established time frame.
- Convert cases with many records to Excel tables and upload them through the Payment Management System Upload.
Requirements
- Two years of experience in customer services, administrative work experience or related experience.
- Proficiency in MS office specifically in Excel.
- Strong attention to detail and accuracy in work.
- Effective communication skills and ability to work in a team.
- Ability to handle confidential information with discretion.
- Ability to communicate effectively both verbally and in writing in English and Spanish.
- Ability to work under pressure and handle high volumes of data entry.
- Effective time management.
- Customer service skills.
