Operations Coordinator Job Description

Ko Business Solutions LLC is seeking a highly organized and detail-oriented Operations Coordinator to join our team. As an Operations Coordinator, you will play a critical role in supporting the day-to-day operations of our business, ensuring seamless execution of client projects and maintaining strong relationships with clients and laborers.

Key Responsibilities:
  • Work closely with the Account Manager to fulfill client requests, including scheduling labor, booking travel, equipment, and supplies.
  • Contact laborers on scheduling for each type of labor request, with attention to detail as to what type of work is requested and workforce availability.
  • Maintain client relationships by filling labor requests and responding promptly.
  • Manage insurance certificate requests from clients, submitting to brokers and ensuring that requested inclusions are met for forms and endorsements.
  • Book travel for laborers as required for client projects, including hotel, flight, and car rental reservations.
  • Distribute reservation information to laborers as required, and track and report costs to the back office team for billing.
  • Work with our vendors and suppliers as needed to make reservations and/or purchases to fulfill client orders.
  • Track receipts, invoices, and costs incurred for job costing purposes.
  • Distribute invoices to Billing and AP accordingly.
  • Perform other duties as needed and assigned.
Requirements:
  • Bi-lingual in English and Spanish preferred.
  • Construction industry knowledge or staffing experience is a plus.
  • Ability to be flexible and function well in a fast-paced environment with a sense of urgency.
  • Strong interpersonal and customer service skills.
  • Communicate clearly and professionally both verbally and in writing.
  • Outstanding organizational skills and strong attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.
  • High School Diploma or GED, required.
