About this role

We are seeking an experienced Administrative Office Manager Lead to join our team at Simon Property Group. In this role, you will be responsible for providing administrative support to the center management staff and ensuring that all administrative tasks are completed in a timely and efficient manner.

Responsibilities

The successful candidate will be responsible for:

  • Providing administrative support to the center management staff, including responding to inquiries and resolving issues as needed;
  • Coordinating and supporting the short-term leasing program, including obtaining and processing monthly rent, tenant sales, overage rent, certificates of insurance, and all opening documents;
  • Administering the Fleet Management program, including PIN maintenance, receipt reconciliations, vehicle maintenance process, and change forms;
  • Creating and maintaining documents for Capital and Operational service agreements, tracking and maintaining DocuSign agreements and insurance documents;
  • Performing general office administrative tasks, such as ordering and maintaining inventory of office supplies and equipment, drafting documents, and reports for management, and providing management with updates on Company Policies and Procedures;
Requirements

To be successful in this role, you will need:

  • A high school diploma or equivalent, with some college or professional school preferred;
  • 3-5 years of administrative office experience, preferably in a fast-paced environment, with a focus on office management;
  • Supervisory and coaching skills, with the ability to delegate tasks;
  • Knowledge of administrative procedures, customer service principles, and practices;
  • Aptitude for understanding financial reports and extracting information;
  • Accounts Payable and Receivable background using systems such as Yardi;
  • Strong working knowledge of various computer software, including Microsoft Office, Salesforce, and Web-based input software;
  • Demonstrated effective conflict resolution and customer service skills for interaction with customers, tenants, and co-workers;
  • Effective verbal and written communication;
  • Strong organizational and interpersonal skills, with attention to detail;
  • Ability to prioritize, coordinate, multitask, and demonstrate initiative;
Estimated salary

$55,000 - $65,000 per year, depending on experience.
