*Job Summary*
We are a fast-growing, boutique swimwear brand, selling across Puerto Rico, the US mainland, USVI and Canada. We are looking for a highly organized Logistics & Invoicing Coordinator to bridge the gap between our physical supply chain and our accounting backend.
In this dual-impact role, you will manage the inventory (from factory receiving to customer delivery) while taking full ownership of our customer invoicing, accounts receivable (AR), and payment process. This position requires someone who thrives at the intersection of numbers, logistics, and vendor/customer communication.
*Key Responsibilities*
1. Logistics Coordination:
* Order Fulfillment Oversight: Responsible for ensuring that daily orders are picked, packed, labeled and shipped within SLA targets; manage transit exceptions with carriers (USPS, FedEx, DHL, Island Wide etc).
* Hands-on operator who manages inventory bins, barcode systems. Proficiency in Shopify, Inventory Management System (IMS).
* Returns Processing: Oversee reverse logistics, inspecting returned merchandise for quality and hygiene standards before re-entry into inventory.
2. Invoicing Process Coordination:
* Invoicing: Generate and issue invoices for customer accounts through the invoicing system.
* AR & Payment Tracking: Monitor open customer receivables and coordinate payment processing through Stripe.
* Collections Diplomacy: Conduct professional, friendly follow-ups on past-due invoices to ensure healthy cash flow while preserving valuable buyer relationships.
*Required Experience Profile*
Hard Skills & Technical Requirements
* Experience: 1–3 years of experience in operations, logistics coordination, or junior accounting/AR roles—ideally within apparel, CPG, or retail.
* Software Fluency: Proficiency in Shopify and accounting software (such as Sage or QuickBooks Online). Direct experience with B2B portals or Inventory Management Systems is a major advantage.
* Spreadsheet Proficiency: Strong Excel/Google Sheets skills.
* Fluency in written and spoken English is required.
*Crucial Soft Skills for Success*
* Meticulous Attention to Detail: Must take genuine pride in zero-error accuracy.
* Focused/organized during seasonal picks: Stay in control, focused, and organized when order volume triples overnight.
* Trustworthy, honest, ability to adapt to attend tasks based on the business needs.
* Agility & Resourcefulness: Need a "figure-it-out" mindset rather than waiting to be told what to do. Fast-learner.
* Pre-empt potential issues: Understand the process and make recommendations in case something does not go as planned. Provide solutions to optimize processes.
* Dual-Brained Versatility: The rare ability to shift effortlessly between physical, fast-paced warehouse tasks and quiet, detail-oriented invoicing data entry.
