The Operational Support Specialist plays a vital role in ensuring the efficient operation of our office. We are seeking an experienced professional to provide administrative support and assist with day-to-day tasks.

Key Responsibilities:

  • Provide administrative assistance to ensure smooth office operations
  • Answer and direct phone calls, responding to inquiries and providing information as needed
  • Organize and schedule appointments and meetings, ensuring timely communication with colleagues and clients
  • Maintain polite and professional communication via email and mail, representing Upturn Co. with excellence
  • Support the team by performing tasks related to organization and strong communication, fostering a collaborative work environment
  • Prepare and submit expense reports for vehicle gas expenses, office petty cash, and cash sales, ensuring accurate records and prompt reimbursement
  • Create and maintain electronic and physical filing systems, ensuring easy access to important documents
  • Assist in preparing regularly scheduled reports and client quotations, helping to drive business growth and development
  • Maintain and schedule annual equipment inspections and quarterly preventive maintenance, ensuring optimal equipment performance
  • Order office supplies as needed, maintaining a well-stocked and organized workspace
  • Handle accounts payable aging and communicate with clients regarding past due invoices, promoting timely payment and reducing financial risk
  • Juggle multiple projects simultaneously, prioritizing tasks and meeting deadlines in a fast-paced environment
  • Develop and improve administrative systems to increase efficiency and productivity

Requirements and Skills:

  • Proven experience as an Administrative Assistant or similar role
