General Description

Reporting the Manager of Learning and Development (L&D) the L&D Relationship Officer oversees and will provide day to day support in the administration and of the vendor relationship management aligned with the L&D commitment of delivering an exceptional vendor, customer and employee experience throughout all the learning experiences.

L&D Relationship Officer facilitates and maintain relationships between the organization and existing and new vendors/partners, negotiating contracts, creating standards for the vendors, and finding the best suitable vendors and ensure that vendors fulfill their contractual obligations.

Essential Duties and Responsibilities

Relationship Manager

Strategically plans and manages all interactions with a vendor from selection, to providing product/service thru transitioning/closure.

Monitors and works with vendor to improve performance as needed.

Manages and supports the delivery of contracted services for user community.

Ensure that all external partners execute their contractual responsibilities, and within their operating budget, in compliance with internal policies and procedures.

Engagement Owner (EO)

Acts as the Engagement Owner (EO) for L&D and manages the vendor’s relation and the negotiation process.

Responsible for completing the Risk Assessment in the system.

Understands the requisitioner role in SAP Ariba and supports, as needed, the requisition process to assist the L&D team. Understands the vendor status in SAP Ariba

Contract Management

Reviews, negotiates and executes business and service terms of vendor proposal and agreements to maximize the service we offer while staying on budget.

Ensure that we pay a fair Price for the services contracted based on the rates that we pay for similar service.

Researches and prepares vendor related data and reports that support overall vendor management process.

Includes all required documentation in order to be approved by management and Buyers.

Contract management with suppliers to establish external partnership Master Service Agreements.

Responsible of request the Contract Workspace for new contracts.

Anticipate and manage contract renewals and amendments.

Service Owner

Defines the need for a vendor service. Therefore, leading the sourcing strategy.

Identifies new vendors and providers that can offer new and innovative solutions to our learning needs.

Meeting with suitable vendors to assess their products, inquire about their services, negotiate pricing, and communicate any product or service-related concerns.

Conducting research on available vendors to determine which vendors offer the best pricing and product quality.

Continually monitoring sales trends to determine which products are more popular than others.

Implementing vendor selection programs to ensure that the best vendors are secured.

Conducting interviews with new vendors and informing approved vendors of their responsibilities and obligations.

Establishing standards by which to assess the performance of approved vendors.

Evaluating current vendor management programs and identifying ways to improve them.

Work closely with vendors to establish sound learning practices that exceed expectations and protect the learning experience.

Employ continuous improvement strategies to create and maintain best in class practices from our vendors.

Budget Management :

Manage the budget for vendor-related expenses, ensuring cost-effectiveness.

Manage centralized budget and credit card charges.

Education

Bachelor's Degree in Business Administration or related field.

Other qualifications

Proficient in all Microsoft Office applications.

Strong negotiation, management, and decision-making skills.

Excellent analytical, problem-solving, and organizational skills.

Effective written and verbal communication skills

SAP Ariba knowledge is desirable
